Bulk T-Shirt Printing in Sri Lanka: Schools, Clubs, Companies

A school sports meet can mean matching t-shirts for every member of every house. Schools, companies, sports clubs and event organisers all order matching clothing, and many of their events come round again every year. Bulk t-shirt printing in Sri Lanka rewards the people who are organised rather than the people who are cheapest: clear quotes, accurate size lists, a mock-up the customer signs off, and delivery before the event.

This guide covers the whole process, from finding the right contact to handing over neatly packed boxes. It includes a quote checklist, a size-run template, a worked cost example using real DTF transfer prices, and add-ons such as lanyards, ID cards and badges that turn a t-shirt order into a bigger job.

Who needs bulk t-shirt printing in Sri Lanka, and when

Bulk buyers usually need clothing for a fixed date. Knowing the calendar helps you approach them early.

• Schools: inter-house sports meets, big-match season, prefect and society t-shirts, class trips, leaving groups and past pupils’ associations.
• Companies: staff events, uniforms for field teams, product launches, family days and year-end parties.
• Clubs and societies: cricket and sports clubs, tuition class batches, university faculties for graduation, and volunteer groups for events such as Vesak dansal.
• Event organisers: runs, walks, charity drives, weddings and homecomings.

Find the person who decides

In a school this is often the teacher in charge of a sport or house, the sports master, or a past pupils’ committee member. In a company it is usually someone in HR, administration or marketing. Bring a small sample pack: one printed t-shirt, a colour card of available blanks and a printed sheet showing your size guide. A physical sample answers most questions before they are asked.

Step 1: Collect the full brief before you quote

A bulk order can go wrong when something is assumed rather than agreed. Use this checklist in your first conversation and send it back in writing on WhatsApp or email.

• Total quantity, and whether that number is final
• T-shirt colour or colours
• Print positions: front, back, left chest, sleeve
• Print sizes for each position
• Names or numbers on individual shirts, if any
• Artwork status: ready, needs cleaning up, or needs designing
• Size list, or the date the size list will be ready
• Event date and the latest acceptable delivery date
• Delivery or collection, and packing (by class, house or department)
• Who approves the mock-up, and who pays
• Advance payment and balance terms, and whether an invoice or purchase order is needed

Step 2: Build an honest quote

Break the price into parts so the customer can see what they are paying for, and so you can check your own profit. For DTF transfers you can use Print Right’s published prices. Everything else should come from your own suppliers’ quotes.

Worked example: 120 house t-shirts

A school house wants 120 t-shirts with a 3″ × 3″ crest on the left chest and a 7.5″ × 10.5″ design on the back.

Chest crests: On a 22″-wide DTF roll, 3″ crests with 0.25″ gaps and a 0.25″ safe margin fit 6 across and 11 rows down a 39″ length, which is 66 crests per metre. Two metres give 132 crests, enough for 120 plus spares. At the time of writing a 22″ roll is LKR 2,400 per metre, so 2 m = LKR 4,800.

Back prints: A 7.5″ × 10.5″ design fits one per A4 sheet (8″ × 11″ print area) with the safe margin. At the time of writing, A4 sheets are LKR 200 each from 51 sheets, so 120 sheets = LKR 24,000.

Add your margin on top of the total cost per shirt, plus a small allowance for a spare shirt or two in popular sizes. Our pricing guide shows how to set that margin. In the quote, state how long the price is valid, because blank and delivery costs can change.

Step 3: Mock-ups and sign-off

A mock-up is a picture of the finished t-shirt showing the design, colours and placement. It protects you and the customer.

1. Place the artwork on a photo or template of the actual blank colour, front and back.
2. Write the print size on the mock-up, for example “Left chest crest, 3″ wide” and “Back print, 7.5″ × 10.5″”.
3. Note the placement, measured from the collar seam, so every shirt is pressed the same way.
4. List the quantity, colours and delivery date on the same page.
5. Ask the approver to reply “Approved” in writing on WhatsApp or email.

Step 4: Size runs that actually fit

How to collect sizes without chaos

• Send one shared list with a column for name, class or department, size, and any name or number to print.
• Where possible, bring a set of sample shirts in each size so people can try them on.
• Set a deadline for the size list and state that sizes cannot change after it.
• Confirm stock of every size and colour with your supplier before you promise a delivery date.

One print size or two?

A back print that looks right on an L shirt can look oversized on an S and small on a 3XL. Keeping one print size is the simplest option. If the size range is wide, consider two transfer sizes, one for S and M and one for L to 3XL, and show both on the mock-up.

Add-ons that grow the order

Lanyards

Companies and event organisers often need lanyards with the same branding. The DTF 25x100cm lanyard flatbed heat press is designed for pressing DTF transfers along long, narrow strips. A full-length design must fit within a 1 m gang sheet’s 39″ length including the safe margin, so plan the design slightly shorter than the strip or use a repeating pattern. ID cards

Staff, student and event ID cards pair naturally with lanyards. A common setup is to print the cards on the Epson L805 ID card printer, laminate if the card material needs it, and cut them to a consistent size with a PVC card cutter. Collect photos and names in one spreadsheet, check spellings with the organiser, and get the card layout approved like any other mock-up.

Step 5: Production and delivery

• Sort blanks by colour and size before pressing, and tick each shirt against the size list.
• Use the same placement measurement for every shirt, and check the first few carefully.
• Follow the DTF settings for cotton in our heat press guide, and cool peel.
• Fold and pack by class, house or department, with a printed name list in each bag.
• Deliver with a delivery note and collect the balance payment as agreed.

After delivery, ask the organiser for next year’s date and a contact for other houses, sports or departments.

Frequently asked questions

How early should a school place a bulk t-shirt order?

Work backwards from the event date. Allow time for artwork, mock-up approval, collecting sizes, getting blanks and transfers, pressing and packing. Starting several weeks ahead avoids rushing and mistakes.

Should I take an advance payment for bulk orders?

It is sensible to agree payment terms in writing before buying blanks or transfers. One common approach is an advance when the order is confirmed and the balance on delivery. Agree what suits you and the customer, and state it in the quote.

Can I add names and numbers to each t-shirt?

Yes. Collect names and numbers in the same list as sizes, check spelling with the organiser, and prepare each name as its own transparent PNG so it can be arranged on a gang sheet.
